Overview

Tools provides specialized utilities for advanced document operations:

  • Pipelines - Automated document processing workflows (Team+)
  • Compare - Side-by-side document comparison (Pro+)
  • Migrations - Import from cloud services (Pro+)

Access Tools: Click Tools in the sidebar or press G then T.


Pipelines

Automate document workflows with AI-powered pipelines.

Tier Required: Team

What are Pipelines?

Pipelines are automated workflows that process documents through a series of steps. When documents enter a pipeline, they’re automatically analyzed, classified, tagged, and routed based on rules you define.

Pipeline Steps

Step Type Description
Extract Pull specific data from documents (dates, amounts, names)
Classify Categorize documents by type or content
Tag Apply labels based on AI analysis
Route Move documents to folders, workspaces, or projects
Notify Send alerts when conditions are met
Approve Require human approval before continuing

Use Cases

  • Invoice Processing - Extract vendor, amount, due date; route to accounting
  • Contract Review - Classify by type, extract key terms, flag for legal review
  • Compliance Checking - Scan for required clauses, alert on missing items
  • Document Triage - Auto-sort incoming documents to appropriate teams

Creating a Pipeline

  1. Go to Tools > Pipelines
  2. Click Create Pipeline
  3. Name your pipeline and add a description
  4. Add steps by clicking + Add Step
  5. Configure each step with conditions and actions
  6. Set triggers (on upload, schedule, or manual)
  7. Save and activate

Compare

Compare two documents side-by-side with AI-powered difference analysis.

Tier Required: Pro

Features

  • Visual Diff - Color-coded highlighting of changes
  • Text Comparison - Line-by-line difference view
  • AI Summary - Natural language description of changes
  • Export - Download comparison reports

How to Compare Documents

  1. Go to Tools > Compare
  2. Select the first document (original/baseline)
  3. Select the second document (revised/new)
  4. Click Compare

Understanding Results

The comparison view shows:

  • Left Panel - First document content
  • Right Panel - Second document content
  • Highlights:
    • Green - Added content
    • Red - Removed content
    • Yellow - Modified content

AI Comparison Summary

Toggle AI Summary to get a plain-English description of the differences:

“The revised contract adds a new indemnification clause in Section 5, increases the payment terms from Net 30 to Net 45, and removes the arbitration requirement from the dispute resolution section.”

Migrations

Import documents from external cloud services with full AI processing.

Google Drive Migration

Import documents directly from your Google Drive:

  1. Go to Tools > Migrations
  2. Click New Migration
  3. Select Google Drive as source
  4. Authenticate with your Google account
  5. Browse and select files or folders
  6. Choose destination in Archivus
  7. Configure AI processing options
  8. Start migration

Migration Options

Option Description
Enable AI Run AI analysis on imported documents
Preserve Folders Maintain folder structure from source
Skip Duplicates Don’t import files that already exist
Include Shared Include files shared with you

Migration Status

Track your migrations in the Migrations tab:

  • Pending - Migration queued
  • In Progress - Files being transferred
  • Processing - AI analysis running
  • Completed - Migration finished
  • Failed - Error occurred (click for details)

Best Practices

  • Start small - Test with a few files before bulk import
  • Organize first - Clean up source before migrating
  • Monitor progress - Large migrations may take time
  • Check AI credits - AI processing consumes credits

Troubleshooting

Pipelines not triggering

  • Check activation - Ensure pipeline is active (not paused)
  • Verify triggers - Confirm trigger conditions match your documents
  • Review logs - Check pipeline execution history for errors

Compare shows no differences

  • Same document? - Ensure you selected two different documents
  • Text extraction - Both documents must have extracted text
  • Processing complete - Documents must be fully processed

Migration stuck

  • Auth expired - Re-authenticate with the source service
  • Rate limits - Large migrations may be throttled
  • Storage limits - Check available storage in Archivus
