Upload Your First Document

Learn how to upload documents using the Archivus web interface.


Before You Start

Make sure you have:


Upload Methods

Method 1: Drag and Drop (Easiest)

  1. Go to your Dashboard - This is your home page when you log in
  2. Drag a file from your computer onto the dashboard
  3. Drop it - The file will start uploading automatically
  4. Wait for processing - You’ll see a progress indicator

Tip: You can drag multiple files at once!


Method 2: Upload Button

  1. Click “Upload” in the sidebar (or press Cmd+U)
  2. Select files from the file picker
  3. Click “Upload” or press Enter
  4. Wait for processing - Usually takes 30-60 seconds

Method 3: From Chat

  1. Open Archie Chat - Click “Archie Chat” in sidebar or go to /chat
  2. Click the upload icon in the chat input area
  3. Select your file
  4. File uploads and you can immediately ask questions about it

Supported File Types

Archivus supports many file formats:

Text .txt, .md 50 MB
Images .jpg, .png, .tiff 50 MB (OCR)
Spreadsheets .xlsx, .xls 100 MB
Presentations .pptx, .ppt 100 MB

What Happens After Upload?

1. Processing

Your document goes through several stages:

  • Uploading → File is being uploaded
  • Processing → Text is being extracted
  • AI Analysis → AI is analyzing content
  • Completed → Ready to use!

2. AI Analysis

Once processing completes, Archivus automatically:

  • Extracts text from the document
  • Generates a summary (if enabled)
  • Creates AI tags based on content
  • Identifies entities (people, dates, organizations)
  • Creates searchable content for semantic search

3. View Results

Click on your document to see:

  • AI Summary - Quick overview of the document
  • AI Tags - Automatically generated tags
  • Entities - People, dates, organizations found
  • Full Text - Searchable document content

Upload Options

Enable AI Analysis

When uploading, you can choose to enable AI analysis:

  • With AI (default) - Full analysis, summaries, tags
  • Without AI - Just text extraction (faster, uses fewer credits)

Note: AI analysis uses AI credits from your plan.

Choose a Folder

Before uploading, you can:

  1. Select a folder from the dropdown
  2. Create a new folder if needed
  3. Upload to root if you don’t want to organize yet

Add Tags

You can add tags while uploading:

  1. Click “Add Tags” in the upload dialog
  2. Type tags separated by commas
  3. Tags are applied to all uploaded files

Batch Upload

Upload multiple files at once:

  1. Select multiple files in the file picker (hold Cmd or Ctrl)
  2. Or drag multiple files onto the dashboard
  3. All files upload simultaneously
  4. Track progress for each file individually

Tip: Batch uploads are faster and more efficient!


Troubleshooting

Upload Failed

Possible causes:

  • File too large (check size limits)
  • Unsupported file type
  • Network connection issue

Solutions:

  • Check file size (see limits above)
  • Verify file format is supported
  • Try uploading again
  • Contact support if persistent

Processing Stuck

If processing takes longer than 5 minutes:

  1. Refresh the page
  2. Check document status - Click on the document
  3. Wait a bit longer - Large files take time
  4. Contact support if stuck > 10 minutes

File Not Showing

If uploaded file doesn’t appear:

  1. Refresh the page
  2. Check filters - Make sure no filters are active
  3. Check folder - File might be in a different folder
  4. Check trash - File might have been deleted

Best Practices

Before Uploading

  • Organize first - Create folders before uploading
  • Name files clearly - Use descriptive filenames
  • Check file size - Make sure files aren’t too large

While Uploading

  • Don’t close browser - Wait for upload to complete
  • Check progress - Watch the upload indicator
  • Add tags - Tag documents as you upload

After Uploading

  • Review AI summary - Check if summary is accurate
  • Add manual tags - Supplement AI tags
  • Organize - Move to appropriate folders
  • Share if needed - Share with team members
