Uploading Documents

Learn how to upload documents to Archivus, including batch uploads, file types, and processing options.

Upload Methods

  1. Go to your Dashboard
  2. Drag files from your computer
  3. Drop onto the dashboard
  4. Processing begins automatically

Tip

You can drag multiple files at once!

Upload Button

  1. Click "Upload" in sidebar (or press Cmd+U)
  2. Select files from your computer
  3. Click "Upload"
  4. Wait for processing

From Archie

  1. Open Archie in the sidebar
  2. Click the upload icon in chat input
  3. Select your file
  4. Immediately ask questions about it

Supported File Types

Type Formats Max Size Processing
PDF .pdf 500 MB Full text extraction, OCR if needed
Word .docx, .doc 100 MB Full text extraction
Text .txt, .md 50 MB Direct text support
Images .jpg, .png, .tiff 50 MB OCR text extraction

Upload Options

Enable AI Analysis

Control whether AI processes your document:

  • With AI (default) - Full analysis, summaries, tags, entities
  • Without AI - Just text extraction (faster, no credits used)

To disable AI analysis:

  1. Click "Options" in upload dialog
  2. Uncheck "Enable AI Analysis"
  3. Upload proceeds without AI processing

Note

You can always run AI analysis later

Choose Folder

Upload directly to a folder:

  1. Select folder from dropdown in upload dialog
  2. Or click "New Folder" to create one
  3. Document is uploaded to selected folder

Add Tags

Tag documents during upload:

  1. Click "Add Tags" in upload dialog
  2. Type tags (comma-separated)
  3. Tags apply to all uploaded files

Processing Stages

After upload, documents go through these stages:

  1. Uploading → File transfer in progress
  2. Processing → Text extraction
  3. AI Analysis → Content analysis (if enabled)
  4. Embedding → Creating semantic search index
  5. Completed → Ready to use

Processing Time

  • Small files (< 10 MB): 30-60 seconds
  • Medium files (10-50 MB): 1-3 minutes
  • Large files (50+ MB): 3-10 minutes

Batch Upload

Upload multiple documents efficiently:

Select Multiple Files

  1. Open file picker
  2. Hold Cmd (Mac) or Ctrl (Windows)
  3. Click multiple files
  4. Upload all at once

Drag Multiple Files

  1. Select files in your file manager
  2. Drag all selected files
  3. Drop onto dashboard
  4. All upload simultaneously

Benefits

  • Faster than uploading one by one
  • Apply same folder and tags to all
  • Track progress for each file

Upload Limits

File Size Limits

  • Free: 50 MB per file
  • Starter: 100 MB per file
  • Pro: 500 MB per file
  • Team/Enterprise: 500 MB per file

Storage Limits

  • Free: 500 MB total
  • Starter: 2 GB total
  • Pro: 25 GB total
  • Team: 100 GB total
  • Enterprise: Unlimited

Rate Limits

  • Free: 10 uploads/minute
  • Starter: 20 uploads/minute
  • Pro: 30 uploads/minute
  • Team/Enterprise: 50+ uploads/minute

Best Practices

Before Uploading

  • Organize first - Create folders before uploading
  • Name files clearly - Use descriptive filenames
  • Check file size - Ensure files aren't too large
  • Remove duplicates - Check if file already exists

While Uploading

  • Don't close browser - Wait for upload to complete
  • Monitor progress - Watch upload indicators
  • Add tags early - Tag during upload saves time later

After Uploading

  • Review AI summary - Check accuracy
  • Add manual tags - Supplement AI suggestions
  • Verify folder - Ensure correct location
  • Share if needed - Share with team members

Troubleshooting

Upload Fails

File too large

  • Check file size against limits
  • Compress PDF if possible
  • Split large documents
  • Upgrade plan for larger limits

Unsupported file type

  • Verify file extension is supported
  • Try converting to PDF
  • Check file isn't corrupted

Network error

  • Check internet connection
  • Try uploading again
  • Upload smaller batches

Processing Stuck

Document stays in "processing"

  1. Wait 5 minutes (normal for large files)
  2. Refresh the page
  3. Check document status
  4. Contact support if > 10 minutes

AI status shows "queued"

  • Check AI credits available
  • Verify AI processing was enabled
  • Wait for queue to clear (usually < 2 minutes)

File Not Showing

  1. Refresh the page
  2. Clear filters - Check no active filters
  3. Check folder - Might be in different folder
  4. Check trash - File might be deleted
