Auto-Tagging

Learn how Archivus automatically tags and categorizes your documents using AI.

Overview

Archivus automatically analyzes documents and suggests tags and categories. This helps organize documents without manual effort.

How It Works

When you upload a document with AI enabled (default), Archivus:

  1. Analyzes content - Reads and understands the document
  2. Suggests tags - Identifies relevant tags (e.g., "contract", "legal", "Q4-2025")
  3. Categorizes - Assigns categories (e.g., "legal", "business", "financial")
  4. Extracts entities - Finds people, organizations, dates, amounts

Automatic Processing

Auto-tagging happens automatically during document upload when AI processing is enabled.

Viewing AI Suggestions

In Document View

  1. Open document
  2. Look for "AI Suggestions" section
  3. See suggested tags
  4. View categories and entities

Tag Suggestions Include

Content-Based Tags:

  • Document type: "contract", "invoice", "report"
  • Topics: "legal", "financial", "hr"
  • Time period: "Q4-2025", "2025", "January"

Entity Tags:

  • People: Names mentioned
  • Organizations: Companies found
  • Dates: Important dates
  • Amounts: Financial figures

Category Tags:

  • High-level: "legal", "business", "financial", "hr"

Applying AI Tags

Apply All Suggestions

  1. Open document
  2. Click "Apply AI Tags" button
  3. All suggested tags applied instantly

Apply Selectively

  1. View suggested tags
  2. Click individual tags to apply
  3. Skip tags you don't want
  4. Add manual tags as needed

Automatic Application

Configure automatic tag application:

  1. Go to SettingsAI
  2. Enable "Auto-apply AI tags"
  3. Tags applied automatically after processing

Tag Types

Content-Based Tags

Derived from document content:

  • Document type: "contract", "invoice", "report"
  • Topic: "legal", "financial", "hr"
  • Time period: "Q4-2025", "2025", "January"

Entity Tags

From extracted entities:

  • People: Names mentioned in document
  • Organizations: Companies, institutions
  • Dates: Important dates, deadlines
  • Amounts: Financial figures, prices

Category Tags

High-level categories:

  • "legal", "business", "financial", "hr", "compliance"

Best Practices

Review Before Applying

Always review AI-suggested tags:

  • ✅ Check accuracy
  • ✅ Remove irrelevant tags
  • ✅ Add missing tags manually
  • ✅ Verify categories

Consistent Tagging

Establish tag standards:

  • Use consistent naming (e.g., "Q4-2025" not "Q4 2025")
  • Create tag hierarchy if needed
  • Document tag meanings
  • Share standards with team

Combine AI and Manual Tags

Use both for best results:

  • AI tags: Content-based, automatic
  • Manual tags: Business-specific, workflow-related

Example:

  • AI tags: "contract", "legal", "service-agreement"
  • Manual tags: "priority", "pending-review", "acme-corp"

Bulk Auto-Tagging

Apply AI tags to multiple documents:

  1. Select documents (Cmd/Ctrl+click)
  2. Click "Bulk Actions"
  3. Select "Apply AI Tags"
  4. AI tags applied to all selected documents

Process all documents in a folder for consistent tagging

Filtering by AI Tags

Find Tagged Documents

  1. Click "Filter" in document list
  2. Select AI-generated tags
  3. View only documents with those tags

Search with Tags

Combine search with tag filters:

  • Search: "contracts"
  • Filter: Tag "Q4-2025"
  • Result: Q4 2025 contracts

Managing Tags

Edit Tags

  1. Open document
  2. Click tag to remove
  3. Type to add new tags
  4. Changes save automatically

Tag Organization

Keep tags organized:

  • Review regularly - Check tag quality
  • Merge similar tags - Combine duplicates
  • Delete unused tags - Clean up tag list
  • Create standards - Document tag rules

Troubleshooting

No AI Tags Suggested

If no tags suggested:

  1. Check AI processing - Must be enabled
  2. Wait for processing - Must complete first
  3. Check document type - Some types not supported
  4. Verify content - Document must have text

Wrong Tags

If tags are incorrect:

  1. Remove wrong tags - Click to remove
  2. Add correct tags - Type manually
  3. AI learns - Your corrections improve AI
  4. Report patterns - If consistently wrong

Too Many Tags

If AI suggests too many tags:

  1. Be selective - Only apply relevant tags
  2. Limit to 3-5 - Focus on most important
  3. Adjust settings - Lower suggestion threshold
  4. Provide feedback - Help AI improve

  • Auto-tagging: Included in document processing (1 AI credit)
  • Tag application: Free (no additional cost)
  • Tag updates: Free
